The Name
The name of the association shall be:
East Montgomery Band Association, INC

With the word "HANDBOOK" added to the Association's handbook. This shall be a nonprofit organization.

Purpose

To promote the interests, activities, goals, and objectives of the band program. Promote a positive image of the band program throughout the community.

Association Membership

Any band parent or supporters may be members. Parents may vote and hold office. Supporters are honorary mambers and have a voice, but may not vote or hold office. A $_____ annual fee shall be paid by all members.
(NOTE: This section was crossed out with the word -NO- written above it as if this section was not to be included. There is no way of knowing if this section is an actual part of these "by-laws" or not.)

Meetings

Meetings will be held monthly on the third Thursday of each month during the school year at 7:00 PM, (August-May) in the Band Room. Special meetings may be called by the Association President or Band Director. Those present will constitute a quorum.

Newsletter

A newsletter will be published monthly by the Secretary. Mailings will be done the first week of every month. Call the secretary if you do not get one.

Orientation Meeting

An orientation meeting will be held in ________________ for prospective band students and their parents. Information about the band, policies, and upcoming events shall be discussed in detail. Expectations of all through out the school year shall be presented. (NOTE: the following was added in the margin beside this section: "March - wants Band Booster parents there to make Band prog. expand greatly".)

Picnic

An annual "pot luck" picnic shall be done. Time and place to be determined.

Executive Committee

This committee shall be made up of elected officers, band directors, immediate past president, and classroom trustees. It shall establish a budget in September and present it to the membership. (Band Director submits tentative budget in August with Contingency fund included, income and expenditures.) Emergency Procedures: $200 may be used with 6-9 of Executive Committee Approval.

Officers and Committee Chairs

President - Prepare agenda with band director, facilitate meetings, using proper rules of order.

Vice-President - Fund-raising chairman. Serves as president in president's absence must be Bondable. (Paid for by association)

Secretary - Prepare and mail monthly newsletters. Record minutes at monthly meetings. (Executive Board and Association Meetings) read minutes at next meeting.

Treasurer - Keep accounts funds. Collect monies; submit bills for payment to Band Director for school BookKeeper. Read financial reports at generally Meetings. Have audit done anually before turnover to newly elected Treasurer. Must be bondable. (Paid by association).

*All elected annually by the association membership. One may hold the same office for no more than two years. Elect officers during the month of April or May.

*President appoints replacements if and (sic) office is vacated with Executive Committee approval.

*Committee Chair asked to serve by President or band Director.

Committees

Chaperones - Travel with band (Two per bus, one per every students; call roll and help Maintain discipline); Reserve stadium seating; Assist with equipment; Escort students and assist back to band room after games. Report Discipline problems, accidents, illness to band director immediately.

Medical Aid - Parent with medical experience usually travel with band. (Contact Chaperone Committee Chair).
*Signed student medical forms required before band camp yearly (Maintain for Medical person/carry on trips).

Telephone Committee - Phone parents or students when needed to contact them quickly. Provides special information.

Uniform Committee - Assist with fitting and altering uniforms prior to first performance (Hem, repairing, split seams, missing buttons, mending tears, and maybe letting out seams. Care for and maintain uniform and accessories; load for trips. Chair decides when to clean, collect cleaning fees. Have several meetings per month before and after performances to care for uniforms. Polishes brass and mends all prior to each band festival.

Transportation and Travel - Chair makes travel arrangements, lodging, meals, entertainment, etc.

Equipment - Chair supervises loading and unloading equipment. Get volunteer drivers and workers.

Video Crew - Tape performances, make audio recordings. Maintains video/tape Equipment.

Publicity Committee - Prepares press releases for radio/TV/newspaper. Chair Submits releases to band director for approval. Have Band photos made before season begins and keeps copies for releases. Have photographs of all performances. Keep band scrapbook updated.

Hospitality Comm. - Provide refreshments for monthly meetings. Serve water/punch to students at rehearsals on hot days, hot chocolate on cold days. Help decorate room, prepare refreshments and help serve and cleanup for annual Christmas Party and Band banquet.

Fund Rasing (sic) Projects

*Must be pre-approved

Have several during the year. Profits help reduce student costs and assists with uniform and equipment maintenance during the year (guest soloist/instructors/trips/supplies); pay for purchases and awards. State contest district contests, tours, trips, graduation plus band camps, instruments, uniforms, etc.
*Establish individual student accounts. One per student. Funds help cover cost of trips, festivals, and other activities.

Financial Aid

*Parent/Supporters wishing to sponsor a student contact Band Director, or Treasurer. Funds will help students with financial difficulties.

Band Banquet

End of school year. Awards given out (Cost $10.00 per person)

Dissolution

Should the Association be dissolved all funds will be turned over to the school Principal/Book-keeper for the school Band Fund.
