The success of a class reunion depends on the level of commitment from its volunteers. In order to secure that commitment, it is prudent that we outline the responsibilities of all roles that volunteers may hold. The expectations should be clearly documented to assist the volunteer in determining their length and level of commitment.
Steering Committee will consist of a group of dedicated volunteers who understand that they will serve in a role that requires a time and work commitment. Its purpose is to steer the direction of the reunion by establishing goals, making major decisions in the interest of the reunion, providing charges to subcommittees and being available to subcommittees and classmates for guidance and assistance. Committee membership will consist of the volunteers who serve in the roles listed below and the chairs of the subcommittees.
Chair serves as the leader of the reunion; sets the date and agenda items for meetings; selects chairs of the subcommittee; makes task assignments to committee members; maintains order at committee meetings; manages email account; assists with managing the website content; other duties as needed.
Vice Chair serves as the chair in his/her absence; manages the post office; assists with the recruiting of subcommittee members; other duties as assigned/needed.
Secretary / Historian distributes agenda; distributes and publishes minutes; records attendance at meetings; maintains a chronology of reunion events; other duties as assigned/needed.
Treasurer creates and maintains the bank account; manages deposits and withdrawals; prepares monthly financial report to committee; other duties as assigned/needed.
Subcommittees these committees receive a charge from the steering committee to focus their energies on a particular activity in order to advance to the planning of the reunion as a whole.
Subcommittee Chair serves as the leader for the subcommittee; calls meetings and conducts business accordingly; makes monthly reports to steering committee on activities of subcommittee; other duties as assigned/needed.
Subcommittee Member assists the subcommittee chair in fulfilling the charge given to the committee; attends meetings; participates in activities/events of the subcommittee; provides input and creative ideas to accomplish a task
General Committee referred to as Committee of the Whole, this group will consist of any and all classmates who would like to receive regular updates on the progress of the reunion planning. There will be an attempt to schedule regular meetings to keep the classmates informed; however, this will not be the only way in which classmates are informed. Classmates will have an opportunity to provide input and creative ideas to issues at hand and offer their help when desired. There are no obligations of the classmates in this group, except we hope they actually attend the reunion!
