Job DescriptionADMINISTRATIVE SPECIALIST
This is a multi-faceted position, assisting in many operational areas throughout the company. The Administrative Specialist’s main functions are Document Preparation, Travel, Reception, and General Administrative tasks. The Administrative Specialist assists with the preparation, proofing and editing of a wide variety of documents for all divisions of the company, but with a focus on preparation of client-facing quotes, proposals, and contracts based on data provided from Sales and Services staff. The Administrative Specialist is responsible for employee travel arrangements and corporate equipment coordination. The Administrative Specialist is also the company’s Receptionist and takes incoming telephone calls as well as greets incoming visitors and handles corporate shipping and receiving. RequirementsHigh school diploma or G.E.D. Certificate required; an Associates degree is preferred. At least 2 years of prior higher-level administrative and/or executive assistant experience required. Prior travel arrangement/coordination experience is strongly preferred. Extensive prior advanced-level experience with word processing programs, specifically MS Word, and basic- to intermediate-level experience with spreadsheet programs, specifically MS Excel, is required. Experience with Microsoft Outlook also highly preferred. Strong, accurate writing, grammar, spelling and proofreading skills required with the ability to accurately proof and edit own and others’ work. Fast and accurate keyboarding skills required (60+ wpm). A high level of organizational skills and attention to details are also required, along with the ability to effectively prioritize tasks in order to meet established deadlines.
