Word Documents - Automatic Paragraph Numbering for converted documents

Word can be a nightmare if you don't turn off the Autoformat settings.  Make sure to do so in both Autoformat as you type, and Autoformat.  Both can be found under Tools, Autocorrect.

If it is imperative that you maintain the same document number, begin with steps 1 through 4.  If you can copy just the text to a new document, it'll probably be far more stable in the long run.  To copy just text - select all but the first and last paragraph marks, copy, switch to the new document, and Edit, Paste Special, Unformatted Text.  Make sure you have a hard copy of the document, and then proceed with step 5 below.  

1) Print out a hard copy. Why? You will be stripping out tabs, direct paragraph and font formatting, and will need to refer to hard copy to see how the document was originally formatted.

2) Clear all tabs. (Ctrl A, Format Tabs Clear All) Why? When you run a Comparerite, the blackline gets dumped into a plain new word doc, using the default tab settings. If your converted wp doc has custom tab settings, the appearance of the text in the blackline can look completely off.

3) Remove all direct character formatting. (Ctrl A - select all, Ctrl Spacebar - remove direct character formatting) Why? When you apply a style that is predefined to be bold over text that has been directly formatted to be bold, the text "unbolds" itself.

4) Remove all direct paragraph formatting. (Ctrl A, Ctrl Q) Why? If you apply a style to a directly formatted paragraph, Word gives precedence to direct formatting, and the appearance of the paragraph will not be that of the style.

5) Define your Outline - Format, Bullets & Numbers. Choose one with an associated Heading style. Modify all Number position and text position upfront. Use the hard copy as a road map to figure out which styles you'll need.

6) Define your Heading Styles.

7) Delete typed in numbers, apply styles.

8) At ANY point going forward where anything in the outline has to be changed, do so by "Digging to China" via the Format, Style method. NOT Format Bullets & Numbers.

9) Use soft returns (Shift Enter) when multiple lines of a heading need to be included in a TOC.

10) If you must, use ListNum (Ctrl Alt L) and promote/demote (Alt Shift Arrows) to number text within a paragraph. 

11) Heading styles 1 - 3 have built in shortcut keys (Ctrl Alt 1, Ctrl Alt 2, etc). Create shortcut keys for the subsequent heading styles (Format, Style, Modify, Shortcut key). Ctrl Shift N is the shortcut key for applying the normal style.

12) If only part of a numbered paragraph needs to be included in a TOC, do the following. Insert a hard return after the TOC portion of the paragraph. Apply the normal style to the subsequent text. Hide the paragraph mark between the TOC text and the Normal text (Ctrl Shift H or Format, Font, Hidden). Make sure Show/Hide is off when you generate a TOC or the page numbering may be off.

13) If you need to include something in a TOC that is not a heading, use Alt Shift O after blocking the text. This method does NOT work for auto-numbered paragraphs. You MUST use styles.

14) Items in gray are field codes. To reveal one field code, be on it and press Shift F9. To reveal all field codes, Alt F9. To update a field, F9. To update all field codes, Ctrl A, F9.

DocsOpen

To email multiple documents that are not necessarily in your Quick Retrieve Window, search for them by document number.  For example - 7777777,888888,999999 - separate the document numbers with a comma.  Once DocsOpen returns the documents in a search window, select all with Click and Shift Click.  Then right click, and select Mail.

 

Outlook

Do you ever find it annoying that an item is marked as read when you have the Preview Pane on and click on another mail message?  To disable this, go the the menu and choose Tools, Options, Other, Preview Pane, UNCHECK Mark item as read when selection changes.

 

If you have a hotmail account, and would like to add it to your Outlook folder list, create a folder.  Right click and select Properties, Home Page, and type in the internet address (i.e. http://www.hotmail.com).  Then, from the View menu, choose Show Folder Home Page.  Voila.

When you are in Outlook's calendar view you can change the number of days being viewed. Just hold down the Alt key and press the number of days you want to see

View 1 day Alt + 1

View 2 days through 9 days Alt + single number key

View a week Alt+ 7

View 10 days Alt + 0 (zero)

 

GroupWise

Your frequent contacts can automatically record external and internal addresses from parties you send to, as well as from those you receive from.  To modify the properties of Frequent Contacts, do the following.  Select the Address Book.  Click on the Frequent Contacts tab.  Right click and choose Properties.  Click on the second tab - Options.  Adjust to your preference.
