Members Meeting Minutes

April 22, 2007

 

I.             Meeting called to order by Jodi Schulte 1:45 pm. This meeting was held at Ponderosa in Washington.  In attendance: Amy Pope, Matt Pope, Jodi Schulte, Traci Grannemann, Allen Becker, and Karen Becker.    Minutes from March 25, 2007 meeting was presented by Allen Becker. One correction to the minutes – There were 388 children who participated in the CHIPS program instead of the stated 421 in attendance. Motion to accept the minutes with this small change was made by Amy Pope, motion seconded by Traci Grannemann.  March minutes were approved.  Treasurer’s report, April 22, 2007 – motion to accept by Amy Pope, motion seconded by Allen Becker.  April 22, 2007 treasurer’s report approved.

II.           Old Business:

a.    Phi Theta Kappa Night--- SEMO, USML, & Webster University will be sending checks to ECC in care of Traci for their silver and gold sponsorships. All money will be deposited into the petty cash fund.

We also discussed suggestions received from the college representatives in attendance at the scholarship fair. Suggestions were to send a save the date email to all colleges, mailing invitations instead of initial contacting by email, and then sending a follow-up email confirming the final information.

The idea of possibly holding a both spring and fall scholarship fairs was mentioned. We will send emails to those reps who normally attend to get feed back from them about holding two each year. We also discussed the possibility of holding a career fair in conjunction with the scholarship fairs. It was also mentioned to have committees to plan both the career and scholarship fairs. Traci presented the idea to have Kevin Dixon book both inductions in the fall so that we have more time for planning and contacting the individual universities and colleges.

b.    International Convention report--- Delta of Missouri Alumni Association was again named the Outstanding Community-based Alumni Association.  Delta members assisted the International Alumni Association with raising money for the Leaders of Promise Scholarship fund. In all, over $11,000 was raised during the convention. Next year’s convention will be held in Philadelphia, PA April 3-5, 2008.

c.    Annual Delta BBQ fundraiser--- As decided in the March meeting, will are going to cancel our July 21st BBQ at Union WalMart and look at a September date either at Union WalMart or at a different location.  We will be looking for a Saturday during the middle of September.

d.    Relay for Life--- Amy has found out that we need to get approval to do games at the relay. Traci mentioned that the college has an air brush for face painting. Will look into the possibility of using it inside of doing games. We have scheduled a Rummage Sale and BBQ for May 11-12 to raise money for the Chi Delta/Delta teams. Will have Chi Delta check into holding this event on the ECC campus. Times will be Friday--set-up @ 11 running the sale from 3-7pm, and Saturday—set up @ 6am and running the sale from 7am-4pm.

e.    Campout—scheduled for 6/22-24 at Robertsville State Park. Amy will check into reserving sites for this event. Cost will be $8 per person for the entire weekend.

III.          New Business:

a.    Girl Scout Badge Workshop—May 19 from 8am-4pm. Two badges will be offered, a pottery badge and a theater badge, with two sessions of each. Delta has been asked to help with this event.

b.    Officer retreat—dates were discussed for holding this event; we would like to do a weekend campout at Robertsville state park. Rose will contact Kevin about the possibility of working with them on the Honor’s Study Topic, the Service Project, Civic Engagement, Better World Books, & Team Building/Communication. She will also check to see if the new chapter will be chartered that we could hold a joint retreat. This would give us a chance to help both officer teams at one time and to give the two officer teams a chance to get to know each other better. Traci and Rose will talk to the new officers after their installation and set a date. Available dates are June 15-17, July 27-29, and August 17-19.

c.    New member activity—it was suggested at the International Convention to hold an activity shortly after new alumni member inductions to get the newest members involved immediately after their induction. We discussed the possibility of doing a picnic or something to get our newest members off to a good start.

IV.         Officer nominations--- Allen Becker opened the nominations. Jodi Schulte nominated Traci Grannemann for President, Allen Becker for Vice-President, and Amy Pope for Secretary/Treasurer. Rose Schulte seconded all nominations. Traci and Amy accepted the nominations, but Allen respectfully declined due to personal time constraints.   Jodi then nominated Rose Schulte for the office of Vice-President, Amy Pope seconded the nomination. Rose accepted the nomination.

Allen will be sending an email to all members stating that nominations for the 2007-08 officer team is open and will remain open until noon on 5/6/07. Anyone interested in running for an office must respond to Allen prior to the close of nominations.

V.           Matt Pope motioned to adjourn the meeting; Allen Becker seconded the motion. Jodi Schulte adjourned the meeting at 3:30 pm.
