UUCA CUUPS Meeting Minutes June 10, 2002 Attendees: Karin, Pat, Geneva, Anna, Sam, Becky, James, Fran, Ed, and Martha Facilitator: Karin The entire meeting was to be for business and organizational issues. Karin handed out an agenda and we got started at 7:35 p.m. First was how the CUUPS chapter was running at the present time. Right now it is being run by a council of five leaders, called the Pentagram Council. Three of the five leaders must be members of UUCA and the terms have yet to be decided. Currently Karin, Pat, Geneva and Anna are seated on the Council with the open seat of Carol's left to fill. It was further clarified that monthly chapter meetings are to start with half an hour of business, then a class follows. Karin recommended we use 'Excerpts from: The Standard Code of Parliamentary Procedure: 4th Edition, 2001 by Alice Sturgis" as the procedure we follow during business meetings because it is simpler that Robert's Rules of Order. Karin handed out copies of it. It was suggested that refreshments be offered at meetings. Each business meeting is to be facilitated by a member of the Pentagram Council. If no member of the Council is available, then the business portion of the meeting will be cancelled, but the class portion can go on. It was decided that membership dues would be offered at $10 a year per adult, $5 a year per child 10-17 years old, and $25 maximum per family. A family is considered a group of two or more people related by marriage and co-housing together or non-married partners co-housing together. If it would be cheaper to sign up individually, you are not required to sign up as a family. Children under 10 may participate in any chapter event with their parent's permission but are not members. We also offer a $5 rate for students, retirees, and the indigent. People who choose this option are expected to donate extra time to the chapter, doing such things as coming early to events to help set up, staying late to help clean up, etc. The Mission Statement, which was created over a series of three or four meetings last year, was discussed and it was decided that it needs to stay short and concise for now. The by-laws were the next to be discussed and a committee was formed of three to five members. Karin, Geneva and Becky volunteered to be on that Committee. It was stated that the by-laws will be based on the National CUUPS by-laws, and will contain the fundamentals on which the chapter operates, but not the day to - day details. The details of chapter operations will be governed by Policies and Procedures created by the Pentagram Council. A short note was said about our group name, since it is a line item on the application for being an official CUUPS group, which is one of our goals. We decided that it isn't that important at this juncture, we CAN change it in the future when we have more time to put a better effort into the process of picking a name. So the decision was made to wait for now. Karin gave out a handout about the chapter positions to be filled. They are: Activities: Ritual Coordinator - currently filled by Pat Social Coordinator Administration: Archivist Official Contact Person (for CUUPs & UUCA) Secretary / Scribe (minutes taker) Treasurer / Reeve Communications: E-Mail Communications Agent (runs e-mail lists) - currently filled by Geneva PR / Techno Herald (announcement placer) - currently filled by Geneva Phone Communications Agent (checks voice mail and makes replies) Webmaster / mistress - currently filled by Martha Education Division: Class Coordinator - currently filled by Karin Family Advisor Steward (in charge of materials) - currently filled by Anna Membership Division Greeter (at meetings) - rotates? Membership Counselor Those positions under each heading report to the Pentagram Council Member in charge of their particular Division. The Chapter's need for a Strategic Plan was discussed. It was put aside until after we have completed our current goals, which are to send in the paperwork to become an official CUUPS chapter, and to create and adopt chapter by-laws. It was decided we will collect dues at the July meeting for people who want to be charter members of the chapter. Then we will send in the application to be an official CUUPS chapter. We discussed our communications, and how we have 2 separate e-mail lists available: 1 for discussion of chapter business, and 1 for chat on any subject. Geneva is also making an e-mail list available for the Pentagram Council. Martha agreed to look into getting the website moved from GeoCities to the church's location and possibly obtaining the url www.uuca.org/cuups. Karin handed out a Calendar for the next year including all the Celebration and Full Moons (no, I'm not including them here, except to mention that we are doing Wonderful Wednesday for Samhain again!). We set a meeting for Monday, June 17th, at 7:30 p.m. at Anna and Martha's for Summer Solstice ritual planning. The Meeting was adjourned around 11 p.m. Respectfully submitted. Martha Shannon
