Executive Meeting         Wednesday November 23, 2005

The meeting was called to order by Lawreen Barber at 8:00 pm.

Minutes of the Executive Meeting on August 30, 2005 were circulated. Lawreen Barber moved that the minutes be adopted as circulated; seconded by Corinne Fletcher.


Old Business

The Halloween Witches Cauldron was a great success. A great big thank you is sent out to all the volunteers who helped to make the event a success. We would like to see the Witches Cauldron become an annual event.

A letter was delivered to Sobey?s Nottingham, thanking them for their donations of hot chocolate and marshmallows. A poster was put up at the mailboxes to thank everyone who volunteered as well as our community, for coming out.



Finances

The Community in Collingwood League is now a registered corporation. Every year Revenue Canada requires that the corporation supply all information pertaining to who the specific directors are and current addresses and SIN number. A current file must be kept at all times, in order to be able to file an income tax claim every year. This procedure has been adopted by the board.

The Community in Collingwood Cove League?s current bank balance is $ 255.05. This information was provided by our treasurer Corinne Fletcher.


NEW BUSINESS

Community Welcoming Committee: Jen Wall put forth the idea to form a welcoming committee, to welcome new families into the community.  The welcoming Committee would be responsible for keeping track of new families that move in to the community as well as be aware of families that are moving out. The committee would be able to provide information for summer and winter activities that would be taking place within the community as well as surrounding area. There would be a Community Directory provided to inform families of current businesses that exist, as well as resident information.  The motion to adopt the welcoming committee has been put forth, seconded by Corrine Fletcher, all in favor. Jennifer Wall will be responsible for this committee.


  The Community Directory
  
The community directory is a new project that was put forth by Lisa Malkewich. We as a community league wish to develop this directory to provide information to residents and give business owners a source of advertisement.

We require the community?s response concerning this project. A flyer will be made up and posted on the community bulletin board. A questionnaire will be taken door to door in which the community will be able to voice their opinions and their ideas.
Lisa Malkewich will make up the flyer which will be completed in the New Year.

A planning meeting will be set for Thursday January 19, 2006 at 8:00pm. The meeting will take place at Jennifer Wall?s. This meeting is planned to discuss a Winter Activity for the Community.


President Lawreen Barber has decided that her priority for future events and executive and community meetings is to delegate more responsibilities to other board members. The vice president Lisa Malkewich will be responsible for typing up the agenda?s for the meetings. Other responsibilities will be delegated on a volunteer basis.   


Randy Barber has offered his resignation as a board director. Randy will continue to volunteer and maintain the Collingwood Cove Web Site.  We now need to fill the position of board director. A vote was taken and new resident to Collingwood Cove. Karen Steiner will be asked to replace Randy Barber. The motion was seconded by Lisa Malkewich. All in Favor. 


The Next Executive Meeting will take place in February 2006 at Tara-Lee Doyle - Voyce residence. The date and time of this meeting has yet to be decided.
