| Community in Collingwood, League EXECUTIVE MEETING August 31, 2005 EXECUTIVE BOARD MEMBERS Present: Lawreen Barber Lisa Malkewich Corinne Fletcher Jennifer Wall Randy Barber Tara-Lee Doyle-Voyce The meeting was called to order by Lawreen Barber at 8:15 pm. Minutes of executive meeting on May 30, 2005 circulated. Lawreen moved the minutes be adopted as circulated. Seconded by Tara-Lee Doyle-Voyce. Carried. TREASURER?S REPORT June Barbeque Report: Overall we made money but fell short of expected on several items. Pop and drinks were not well supervised and some food was unaccounted for. OLD BUSINESS Amazing Race: Cancelled due to lack of interest from the community (no calls or e-mails). Decided it was just a bad time of year and a similar event will be attempted again. NEW BUSINESS We received official papers in the mail naming us ?Community in Collingwood, League?; officially the name was approved and we are a recognized association. We need to arrange setting up an account at the Royal Bank. Corinne to find out how many signatures are required on each individual cheque written, and if we all need to be there at the same time or if we can go in at our own convenience to open the account. Next Event: Haunted house (free) on October 31. A planning and organizing meeting is set for September 14 at Lisa?s house. Details of the event will be discussed then. Cove Directory: Questionnaire will be put together by Lisa. We will determine interest levels in a directory. Discussion followed, questioning the purchase of a directory if there are not enough entries. Costs will be discussed at a future meeting after interest is determined. Grants and Applications: Prerequisite for many applications is that we must be an association for at least one year. We will apply to the County Clothesline for up to $500; our goal is to complete an application by September 30, 2005 to apply. It is free to apply and we will scan the newspapers as one source. Some ideas were that grants could be applied to playground upgrades, a Collingwood Cove sign, a bench by the lake, bulletin board improvements and a spring clean up. To apply for grants we need a letter stating details of the event and what the money is for. Local businesses to consider are Save-On Foods, Little Caesars, Gateway Rec Centre, Broadmoor Golf, Leduc Truss and the Laughing Llama. Meetings: Decided that everyone will be given the opportunity to host meetings so that babysitting costs will be reduced. Lawreen's house November 30, 2005, Tara-Lee?s house February 2006, Corinne?s house May 2006, Jen?s house August 2006, Lisa?s house November 2006. OPEN DISCUSSION Lawreen asked all members if they were happy with their positions. Randy suggested we need another successful event. Corinne mentioned that any receipts that are outstanding need to be brought in for compensation. Lisa said everything was good. Lisa spoke for Dave, who was not in attendance, and said everything was good. Jen said everything was good, as did Tara-Lee. When Lisa asked Lawreen the same question, she pointed out that she wants to see more communication and group discussion. Lisa suggested that we invite people from other communities to attend planned events. Lawreen suggested we put events in the ?upcoming events? section in the county newspaper; she will talk to Eve Cockell about this. There was a discussion regarding holding events during busy times of the year. It was suggested that summer activities should be cancelled; it was disagreed upon. We will still hold events during the summer. The next Executive meeting will be November 30, 2005. Hostess Lawreen Barber. Meeting adjourned at 9:26 pm by Lawreen Barber |
