Constitution of the University of Cincinnati



Equestrian Club



I.               Name



A.            The name of this organization shall be the University of Cincinnati 
Equestrian Club (hereinafter referred to as UCEC). 



II.               Organization



A.            The UCEC is a club sport under the direction of the Student Activities 
and Leadership Development office at the University of Cincinnati. This club 
is partially funded by the University of Cincinnati. Members of the UCEC may 
participate in one or both of the competition teams. These teams, the Hunt Seat 
and the Western team are affiliated with the Intercollegiate Horse Show 
Association (IHSA). UCET is located in Zone 6 Region 2 of the IHSA. 



III.            Purpose



A.            The purpose of the UCEC is to promote the sport and discipline of riding 
and caring for horses. The club informs and educates members about the equine 
industry as well as supports the equestrian teams. 



IV.               Membership



A.               There shall be three (3) levels of membership within the UCEC. These 
memberships are: voting, non-voting, and honorary. 



1.      Voting membership shall be open to any full-time or part-time student 
attending any colleges within the University of Cincinnati. The member 
must be sincerely interested in promoting the goals set forth by the UCEC. 
Voting members must also be in good financial standing of the IHSA, and 
University of Cincinnati Equestrian Team if the said member is competing.



2.            Non-voting membership is open to any student, faculty or staff at the 
University of Cincinnati.



3.            Honorary members shall be open to any persons desiring such membership, 
elected to such membership by the majority of the voting members.



4.         There shall be NO LIMIT ON THE SIZE OF THE MEMBERSHIP of the 
Student Organization, provided, however, that the number of the non-voting and 
honorary members together, shall not exceed the number of voting members.



V.               Officers



A.    The officers of the UCEC shall be: President, Vice-President, Secretary, 
and Treasurer.



1. In order to run for office in your respective organization you must have a 2.0 or 
above accumulative GPA. 



2. While in office the officer must maintain a 2.0 a cumulative GPA and must not 
have below 2.0 for more than one quarter. 



3.Officer must be a matriculated student and be in good standing with his or her college.



4.All officers serve for a term of ONE (I) YEAR or until their successors shall be 
duly elected and qualified. 



5.Any officer who, during the term of his/her office, ceases to be a voting member, or 
fails to maintain his/ her status as a matriculating undergraduate/graduate (exception 
University organizations) student maintaining a 2.0 accumulative GPA, in good academic 
and disciplinary standing with their respective college, shall be removed from his/her office
 and a replacement shall be elected.



 
B.            The Role of the President



1.               Preside over club meetings



2.               Chair on the executive board.



3.               Provide leadership to UCEC and UCET.



4.               Provide written agendas for club meetings.



5.               Create committees within UCEC when necessary to conduct club business, and appoint 
committee chairpersons.



6.            Act as a liaison for UCEC and the University of Cincinnati.



7.               Maintain club roster.



8.               Preside over recruitment and fundraising activities.



9.               Attend the club/sports meetings at the University of Cincinnati. 



 
C.           The Role of the Vice-President



1.            Sit and have vote on the executive board.



2.            Aide the President in his or her duties.



3.               Report at every team meeting the current point standings for the UCET and each
 individual rider within UCET.



 
D.           The Role of the Secretary



1.            Take minutes at every meeting.



2.            Take attendance at all mandatory functions.



3.            E-mail minutes to every club member after the meeting within 48 hours.



4.               Make hotel reservations for the UCET.



E.            The Role of the Treasurer



1.               Handle all the financial obligations of the club/team.



2.               Create the yearly budget.



3.               Provide a written report at each meeting, including a balance sheet, income 
statement, amounts due from members, and account balances. 



4.               Maintain club funds. 



5.               Create and enforce collection policies.



6.            Take the required test given by the University of Cincinnati to be a treasurer for 
a student organization.



VI.               Meetings



A.               Regular meetings of UCEC shall he held at a minimum of once per quarter, 
the time for such meetings shall be determined by the Executive Board, with the approval
 of the voting members.



B.               Special meetings of UCEC may be called at any time by the Executive Board 
upon one week's notice to each member or by a petition of a majority of the membership, 
submitted one week before the scheduled meeting.



VII.               University Advisor



A.            The UCEC shall have a University Advisor who shall be a fill- or part-time member 
of the University faculty, staff, or administration. The executive board of the UCEC shall select 
the University Advisor. 



VIII.               Amendments



A.               Amendments to this Constitution may be proposed by a member and shall be voted
 upon at the next meeting of the UCEC following notice of such proposed amendment to the 
voting members, SUCH NOTICE SHALL BE GIVEN WITHIN ONE WEEK OF THE TIME ANY 
SUCH AMENDMENT IS PROPOSED.



B.    	Amendments to this Constitution shall be the affirmative vote of two- thirds (2/3) of all 
voting members and with the approval of the appropriate governing board.



IX.               Ratification



A.            Ratification by two-thirds (2/3) of the charter members of the UCEC shall be sufficient to establish this constitution between said members so ratifying and with the approval of the appropriate governing board.
