Bylaws
1)
Executive Board – The executive board shall consist of the
President, Vice-President, Treasurer and Secretary. The executive board will
have meetings outside of club meetings to discuss pertinent club business.
2)
Committees – Whenever committees are necessary to conduct business,
the President shall have the power to appoint members to a committee. All
committees formed are considered impromptu and shall cease to exist upon
completion of the task the committee was designed for.
3)
Membership – To be a member of U.C.E.T, a person must be enrolled
in any college within the University of Cincinnati, full time or part time. The
said person must pay member dues in the amount set forth by the bylaws. However,
in order to compete in the Intercollegiate Horse Show Association students must
be enrolled full time.
4)
Dues – To compete in the Intercollegiate Horse Show Association
events, you must register with the IHSA (see handout “Registering with IHSA”).
The IHSA fee is $20.00 for one discipline and $30.00 for both. These checks must
be made out to IHSA Inc. The completed registration form and check must be
turned into the Vice President.
a)
Dues for U.C.E.T – Dues for the year 2004-2005 are as follows: All
members must pay $10.00 per quarter regardless of whether the said member is
competing or not. Those members that are competing must pay an additional $15.00
per quarter. Checks must be made payable to U.C.E.T and given to the Treasurer
at the beginning of every quarter.
5)
Attendance – Attendance at meetings is mandatory. Attendance to
other events is required when the executive board deems the event a mandatory
function. In the case of a member not attending mandatory events, there are
penalties. The penalties are as follows: First offense—$5.00 fine paid to
U.C.E.T, Second offense—$5.00 fine paid to U.C.E.T, Third offense—member may
not compete in the next horse show. The dates for the 2004-2005 season is
published, therefore each member has ample time to schedule their time
accordingly (see the website or the handout).
a) Academic
excuses, such as having class during a meeting, are excused. However, a written
note signed by
the professor of the class is required.
b)
If a member must miss a mandatory event, he or she is expected to submit
a written excuse prior to the event to the Secretary. The executive board will
then review and rule on the excuse at their next scheduled meeting.
c)
Selection of team members eligible to compete at competitions will be
based on attendance records of previously mandatory events.
6)
Showing – All members that are in good standing with the University
and U.C.E.T are encouraged to show. There are approximately 8 Hunt Seat shows
and 8 Western shows for the 2004-2005 season.
a)
Team Travel – Members of U.C.E.T are expected to travel as a team
to and from events. An exception may be granted from the coach upon written
(including email) request.
i)
For trips involving multiple vehicles, vehicles should travel together
(for example, in caravan style). Vehicles should leave at the same time and
should travel the same route.
ii)
In the event that vehicles become separated, passengers in one vehicle
should contact (via cell phone), the passengers in another vehicle to make
arrangements to meet at the next available exit, rest stop, etc. Prior to
departure it is important to verify that each vehicle has a cell phone.
7)
Show Expenditures – Lodging expenses are paid by club funds and
received from the University. Food, gas, and entry fees are to be assumed by the
competitor.
8)
Club Expenditures – Expenditure of club funds in the amount
of $30.00 or less, which are not associated with a show, requires only the
approval of the Treasurer and the President. All expenditures of club funds
(other than horse shows), in excess of $30.00 shall require a majority vote of
the paid members of the club.
9)
Lessons – Members of the U.C.E.T are required to take lessons at
Bridle Path Stables. There is a minimum requirement of at least three (3)
lessons per month during the whole months of September, October, November,
December, January, February, March, April and May, however more lessons are
preferred. During the summer months of June, July and August team members can
ride with their own trainers, but U.C.E.T would prefer members to also ride with
the teams coaches.
a) Scheduling
– Members are required to schedule their own
lessons with the appropriate coach.
b)
Members are also required to workout and weight lift on a regular basis.
This is because U.C.E.T does not ride more than once a week.
i)
The University of Cincinnati has the Rec Center which is located in the
Shoemaker Center. This gym is free to all University students, to gain admission
students must present their UC ID. For more information visit http://www.recsports.uc.edu/recreation.shtml.
c)
Members may feel free to ride elsewhere as long as they take the required
lessons per month with the team’s coaches.
10)
Officer Elections –
a)
Nominations – Nominations of officers shall be taken at least one
meeting prior to election night.
i)
Only paid members, as verified by the Treasurer, shall be eligible to
nominate persons to office. Nominees must also be paid club members.
ii)
Nominees must have at least a year remaining in their undergraduate
education in order to be eligible to serve as a club member.
iii)
Each nominee shall be formally asked whether he/she accepts, postpones,
or declines their nomination to office.
b)
Election procedures –
i)
Only paid club members are eligible to vote.
(1)
The Treasurer must verify which members are eligible to vote.
ii)
Each nominee is expected to attend the club meeting where officer
elections occur. Failure to attend will result in a decline of the nomination.
iii)
Each nominee shall be asked to make brief comments (less that a minute)
to club members to state their qualifications, and/or reason for wanting to
serve as a club officer.
iv)
After all nominees for a particular position have made their speeches,
members shall vote by written ballot to elect the officer.
v)
Absentee voting shall be permitted, provided that the executive board
granted the absence. The absentee ballot should be turned into the Secretary
prior to the election night.
vi)
To be elected to office, a nominee must receive the majority votes.
vii)
The Faculty Advisor and/or other unbiased person(s) acts as counters for
all votes taken.
11)
Removal of Officers – If an officer is not fulfilling their duties
as set forth by the U.C.E.T, nominations can be brought forth to the floor at a
meeting to remove the officer.
a)
A two thirds (2/3) majority vote of paid members, is required to remove
an officer.
12)
Changes to Organizational Bylaws – Changes to the U.C.E.T bylaws
may be made with a majority vote by paid club member in attendance at a meeting
where a quorum is present. Proposed changes to the bylaws must be presented at
least on meeting prior to the meeting at which the vote on the proposed change
will occur.
