Minutes October 10, 2005 President Robert Wingo brought the meeting to order at 7:00 and welcomed all parents and students. A Motion for the minutes to be accepted as presented was made, seconded and approved. Treasurer Report Rama Peri read the treasurer�s report. She explained that the monies collected are broken down into six departments; Student Accounts, Jazz Band Account, Financial Aid, General Fund, Flags, and Scholarship. All monies are held in 3 different bank accounts; Regular Checking, Money Market, and a Scholarship Account. In addition she reported that at present we have 47 Senior students. This does include students from the band, choir, and flags. If all of the Seniors receive the proposed senior scholarship of $100 for 4 years participation in the band/choir, that will total $4700.00. In addition she reported that Mr. Eli is expecting the busses for the spring trip to Universal Studios will cost approximately $6,000.00. It was determined that because of these two expenses and the money in the accounts at present we will need to fundraise to cover an additional $12,000.00. Student Accounts Connie Holdridge reported that the student account balances were posted on the band doors for those parents present to view. If anyone has questions concerning their students account, please email Connie directly @ [email protected] . At present there is $21,000.00 in the student accounts and two additional fundraisers will be started and finished before the end of November. This is another opportunity to raise money prior to when the first payment is due for the Spring Trip. Directors Report Mr. Eli reported that he has still not heard from the Bus Company with a final figure for the busses, or from Classic Festivals with a final trip figure. The estimation is that each student and chaperone will be charged $550.00, with 50% due approximately at the end of November - early part of December. Taking a larger deposit in the beginning is a change from years past and is being done to discourage cancellations. Cancellations in the past years have caused the price of the trip to increase for those students who do attend in addition to a loss of revenues for the tour company. Final figures will be available at the November meeting, however if it is determined that payment will be needed the end of November, the phone tree will be enacted to advise parents ASAP before the next meeting. Senior Night: will be November 4th at the Football Game and seniors will be acknowledged on the field � not in the stands. At present Mr. Eli is expecting several School Board Members to be present. Mr. Eli thanked Darrell Dukes for his continued video filming of the band performances at the Football games. These films have become a valuable tool for re-teaching, correcting and congratulating students. He also thanked Diaz for his outstanding announcing of the half time show. This weeks Homecoming Parade will be at 5:30; those traveling on their own need to be at the baseball field by 4:45 and lined up by 5:10 pm. Students riding the bus to the site need to be at the school and on the busses at 4:30pm. The Jazz Band will only make one appearance for the Jazz Festival this year and that is at Sydney�s on Tuesday evening the 11th. They will perform from 6pm till 7pm. Other opportunities were not available because of the Homecoming Game on Friday and the Homecoming Dance on Saturday. Gail Kelso was not present to make a report for the Choir; however, Mr. Eli reported she has started to receive requests for Holiday performances. The choir is excited and is filling their calendar. Presidents Report: Robert Wingo thanked both Connie Holdridge and Rama Peri for their combined work on the successful Car Show held in September. Robert also reported that their has been some concern that some Senior students that will not be going on to further their education formally will be going into the Military and they should not be left out of the Senior Scholarship considerations. A show of hands was given to approve this proposal. OLD BUSINESS Committees: Robert did make an appeal for parents to check the lists left out for their viewing of the committees presently without a Chairperson. We do need these fundraisers and presently have committees without Chairs and other committees completely unstaffed. The list will be left out for everyone to review at the close of the meeting. Anyone wishing to discuss this further or if you should have questions please contact Robert at [email protected] Service Star: Connie Holdridge reported that although the number of hours a student needs to work for the general fundraisers in order to earn their service star has not been determined, as we talk of fundraisers it is important to remind Chairpersons to please keep track of all students who do volunteer their time to any fundraiser. Chaperones: Robert did thank Carol Moore for taking on the Chairperson responsibilities for obtaining and organizing chaperones for all away games and all parades. The next two away games are scheduled for October 21st and November 11th. All busses will load at 5 and leave at 5:15pm. The Sea Witch Parade is scheduled for October 29th. If students are riding the busses from school that are provided they need to be on the busses by 9:30am. If students are traveling to the parade site on their own they need to arrive in Rehoboth at 10:15. As yet the �milling/start location� for our band has not been determined, Mr. Eli will advise the students later. Buses will return to the school by 12:15 pm. The next event will be the Veterans Day Performance at the bandstand on November 11th at 10:30 am. Students should wear their gray Cape Music shirts. Pointsettias and Fruit Fundraisers Connie Holdridge and Rama Peri reported that both fundraisers will kick off this Friday when all information will be sent home with students. Both fundraisers monies will need to be turned in on November 9th. However, when turning in your orders please do not combine both fundraisers into one check. This gives all students 4 weeks to sell and earn credit, prior to the first payment due for the spring trip. This is a high profit fundraiser earning each student 40% of total sales that will go directly into their accounts. Poinsettias will be delivered to the bus barn and must be picked up between the hours of 2 pm to 6 pm on November29th for grades 9 and 10; and November 30th for grades 11 and 12. If however, you have students in 2 different grades, ie: 9th and 11th, their orders can be picked up at the same time. Fruit will be delivered to the bus barn on December 7th and will also be available to be picked up between the hours of 2pm and 6pm. Notice was made that this is the same night as the Milton Parade but the parade does not begin till 7:30 allowing time for students and families to get their orders. If this date was not accepted, Rama reported the fruit company would not deliver until the following week when which could have resulted in lost sales due to late arrival. Trailer Ads Diane Tylecki reported that she has turned in 5 checks to Rama for deposit, but still needs to research further on other advertisers and if they are paid up. She also reported that to date only one advertiser need to be dropped. The next meeting will be in the band room at 7pm on November 14th. Meeting was adjourned at 7:40pm.
