Minutes: February 9, 2009 Call to Order: 7:05 PM President Robert Wingo welcomed everyone and asked for all to sign in. Corrections to January minutes available. A motion was made and seconded to accept minutes. Treasurer�s Report: Cheryl Littlefield reported a balance of $2,012.61 in the general fund. The first trip payment in the amount of $17,400 and the second payment in the amount of $21,500 have been made. A transfer from student accounts to general in the amount of $408.62 was made for choir students who are no longer enrolled. Student Account Report: Heidi Dukes has the student account balances posted for all. Current balance is $16,085.54. A motion was made and seconded to accept the treasurer�s report. Director�s Report Choir - Gail Kelso Gail Kelso repo rted the All State Choir festival was last weekend, however she was unable to attend the actual concert. Heidi and Darrell Dukes attended and reported an excellent, sold out performance. Singing Valentines will be held this Friday. There are 29 choir students signed up for the trip to Florida. The spring choir concert has been scheduled for May 7th, which is separate from the band. Band - Rob Barbarita Rob Barbarita was unable to attend due to county band practice but did leave the following updates: The second trip payment has been made. The final trip payments are due on February 16th in the amount of $150.00 and on March 16th in the amount of $136.00. Tentative Itinerary for the Florida trip: April 29th - depart at 4:00 PM. There will be a stop for breakfast and will go directly to a park before checking into the hotel on April 30th. May 1st - breakfast at the hotel, depart for a park until @ closing; return to hotel (times to be determined) May 2nd - performances scheduled (2 concert bands and jazz bands will be adjudicated at park). A park for the day (park to be determined) May 3rd - breakfast at hotel; 7:00 AM, departure for home; Estimated arrival at CHHS - midnight. Total trip costs are $585 for students and $669 for chaperone's; The cost is still good at this time, however, we can not lose any more students. A request was made for anyone chairing a fundraiser to schedule a time to go to the classes to explain the fundraiser. Since Rob is not familiar will all of the events, it is difficult for him to answer some of the student questions. Parent Meeting - Rob has scheduled a parent meeting for Tuesday, February 24th at 6:30 p.m. This will be in regards to next years schedule, the class schedule and any questions or concerns in regards to band class. President�s Report Bob welcomed everyone and thanked all for attending. It is always nice to see everyone and the concerns that they have for their students. Thank you to the board members for the additional time each month that they are taking away from their families for the monthly meeting and any board meetings. Thank you to Cheryl and Heidi for handling the funds and student accounts, thank you to Darrell for his continued support and Yvonne for the minutes. Old Business: Strawberry Sales - The information for strawberry sales should arrive this week and all information will be sent out as soon as possible. At this time, we are unsure of the strawberry season, but should not have any effect on our delivery. For each $3.00 sale a student makes, $1.00 will be returned directly to the student�s account. Bob Wingo, Marilyn Davis and Tara Bradley will chair this event. Big Fish Grill - Marilyn Davis noted that Krista Scudlark was unable to attend tonight�s meeting, but wanted to let everyone know that Big Fish restaurant night has been confirmed for March 12th. Krista will bring fliers to the school and student volunteers will be needed that night to hand out fliers at the door. Marilyn will discuss a possible sign up with Krista to make sure we have coverage for the evening. Spaghetti Dinner - The board made a decision to postpone the date until April due to the Big Fish event. Bob will contact Mr. Van Heest to confirm a date. The approximate time e for this event will be from 3:00 PM. to 8:00 PM. Students and parents will be asked to serve during this time. New Business: Uniforms - P.J. Hopkins will activate the phone tree as a reminder to all students to turn in uniforms. Students who are attending the trip will also need to include their hat, gloves and shoes in the bag. Any students not attending the trip can hold onto these items. The uniforms should be professionally cleaned prior to turning in. Any uniforms not cleaned will be cleaned and any fees will be charged to the student�s account. Uniforms are need as soon as possible to determine how many garment bags will need to be purchased. The least expensive cleaner for the band uniforms is Capitol Cleaners by Super Fresh on Route One. Strategies Meeting - The parent meeting will take place on Tuesday, February 24th at 6:30 PM. All parents are encouraged to attend and come prepared with any comments or concerns that you may have. Scholarship Committee - Marilyn Davis has chaired this event, but will be ineligible after this year. Any booster member who does not have a senior student and wishes to chair this event should contact Marilyn for information. Cheryl Littlefield also requested that information for the students on how to collect their fund be included in their scholarship packet. Nominations Committee - Elections for board positions will be conducted during the May meeting for the next year. A chairperson will be needed to handle the election. There=2 0is criteria available to follow for anyone interested in chairing this event. Spring Concert - In the past we have had booster tables at both the band and choir concerts. A membership drive is scheduled for both. We will also conduct a membership drive in the fall and at open house. B.J.�s Fundraiser - Bob Wingo has been in contact with B.J.�s as another option for a fundraiser. He has a contact person and will forward additional information as it is received.
