CHHS Music Boosters



Minutes August 14, 2006

The meeting was brought to order at 7:09 pm.  All new comers were welcomed and thanked for taking time to be with us.  President Robert Wingo introduced the new Principal Mr. Yore who was in attendance at our meeting. Robert also restated our goals to support our students by supporting the booster program.  A motion was made for the minutes to be accepted, seconded and approved.

Treasurers Report
Rama Peri read the accounts at present; Student Accounts is 11,746.57 after receiving a check for $13,000.00 from the State Fair Parking fundraiser, General Fund is $5,190.87, Rifle Fund is (25.27), and Scholarship fund is $4,479.44.  In Checking we have $5,210.75, Money Market is $11,70l.42 and Scholarship is $4,479.44.  A check was received from State Fair Parking tonight for $13,000.00 that will be added to student accounts.

Student Accounts

Connie Holdridge reported that she receives a report from each fundraiser chairperson that lists each student�s hours and contributions.  This is then added to their personal student account.  This money is carried over from year to year until the student graduates. At that time if there are funds still left in their account, they may donate those funds to a sibling or to another student.  At no time can the funds be �cashed in�.  They are to be used to music trips and functions.  She explained how many fundraisers are extremely profitable and indeed one student earned over $450.00 this past month working the State Fair Parking.  This amount will probably pay for their spring trip.

Directors Report

Mr. Eli reported that camp is going great.  The students are working very hard and it shows. He did report that he is disappointed in the lack of 9th grade students participating in band.  He is following up with Dr. Stone on why they are dropping out of band in middle school.  Mr. Yore added that he would also like to be involved in this dialogue and will be interested to help research this.  Because there are so few 9th grade students this year he will be able to combine their instruction with the balance of the high school band and they will not have a separate concert.  In addition it is being looked into that on the days that band is scheduled for the last period, they can be bussed to the High School campus to practice with the High School Band.
London Trip
Mr. Eli also stated that it will not be practical or feasible to pursue a trip to London for 2008 at this time.  Other bands from America have already cancelled since the latest terrorist arrests in London.  He explained that the fundraising is very extensive for a trip this expensive and it would require commitments each weekend.

Choir

Gail Kelso was unable to attend tonight�s meeting.

Presidents Report
Robert Wingo reported that it was decided just last night that the trip to London would not be pursued further.  The reasons given were, lack of enough parental fundraising support and the increase in terrorist activity.  However, Mr. Eli is pursuing several possibilities for this years spring trip that will be close and will be performance trips that are adjudicated. 
Robert also stated that we need to promote our boosters organization more.  Not enough parents seem to know of us.  It was suggested that our monthly meetings be published in the newspaper by our publicist.  It was also suggested that a great opportunity to promote will be available on Thursday at the band picnic. 
We are in need of new equipment, in particular a new equipment trailer.  Robert is looking into several deals at present.  The new trailer will need to be bigger and better lit.

Old Business
State Fair Parking

P.J. Hopkins read a formal thank you to and for the many volunteers and helpers who participated in the fundraiser. In particular to all the parents and students who stayed longer, worked more than their shift, took kids home etc., etc., also to Carol Moore, Carlyn Bailey, Bill Jester, Bonnie and Bill McIlvaine and most especially to Lisa Bales who made it an awesome experience.  The booster members thanked PJ for taking on the chair of this fundraiser.
Amendment to By Laws
Robert introduced the idea that to change the by laws too much would not be advisable at this time.  The old by laws have served this organization for a lot of years.  He suggested that we amend only what needs to be amended and that would be that a parent of a graduating student may continue to serve on the Boosters Board if they are nominated.  However, they can only serve for one additional year. It was put to a vote and was accepted by the majority present. The new amendment will read; �A seated officer whose student is graduating in the current school year, and has no other students in school, can be nominated for the retention of the office if selected and nominated by the nominating committee.  The retention of the office will be for a period of one year.
Car Show
There is no chairperson for this fundraiser so this has been dropped for this year.

New Business
Band Camp

Rama Peri stated that this year there is a definite conflict with the beginning of sports practices that are coinciding with band camp.  Barry Eli explained that this was not Capes call, that actually this was decided by the DSAS for the entire state because so many schools now return to school before Labor Day.  Mr. Yore explained that he will be talking with the coaches and athletic department about these conflicts.
Band Camp Pizza Party
Freda Burton has received promises of donations from Pizza Hut, Dominoes, Miltonian Pizzeria and Grottos.  Volunteers did come forward and will be picking up the pizzas Wednesday night, Grottos will be delivering theirs.  Pizzas should arrive by 8pm. 
Band Camp Picnic
Marilyn Davis reported that donations have been given towards the picnic, however, many items need to be picked up and help is needed setting up.  Many parents stepped forward and a great picnic should be the result.  All volunteers should arrive by 6pm to begin the set up. 
Joe Corbi Fundraiser
Carol Moore volunteered to be the chairperson for this fundraiser.


It was noted that we still need chairperson(s) for the Poinsettia and Fruit fundraiser that is traditionally held prior to the holidays.
