Troop 28 Committee Meeting Minutes

November 6, 2006

 

1.  Call to order.                                                                                     Walt

2.  Review and accept October meeting minutes.                          Walt

            Accepted as amended by W. Augustin

 

3.  Scoutmaster report.                                                                           Ed

è     6 new scouts being assisted by new leaders

è     Need to have PLC meeting with new leadership –Ed to take inventory at meeting and determine what rank insignias are required. Need to confirm other positions ie. Quartermaster           

è     Need to talk about summer camp

è     Need to talk about and nominate for OA (Doug?)

è     Aidan to be new Scribe to assist w/notes at PLC meeting

è     Need Adult Quartermaster – also need new bearing cover for trailer.

è     COH – Ed to verify if scouts had questions with Merit Badges and will provide listing to Kristen

è     New Scout packages for new scouts that include medical forms, contact information, etc. Shawn to check home computer for electronic versions of forms

è     Possibly put on website for parents to download

     

4.  September Roundtable report.                                                            Ed/Shawn/Doran

è     Walt there for FME (now Friends of Scouting - FOS) and recharter

è     Doran took care of Scouting for Food bags and signs

è     Ed went to Scoutmaster breakout

è     Shawn for popcorn – obtained prizes, will give out at next meeting

è     Spring camporee theme given. Concern with outline – Ed will clarify and report back

 

5.  Treasurer report:                                                                                Shawn  

-  Checking account balance                   $3,250.16 includes scouts accounts

-  Scout account balances                      $697.45 – still waiting for fish fry participation data

-  Scout store account balance                n/a Shawn will get. Outstanding receipt for expense of COH

è     Shawn purchased 8 new tents from Travel Country outdoors – got a steal at $112 each tax exempt, vs. reg price of $150.

 

6.  Fundraising Chair.                                                                             Shawn

-  Popcorn sales wrap-up

è     Complete – have $325 worth at home. (4 large caramel, 5 micro kettle, 2 micro unbelievable, 5 micro light, 5 little caramels) If anyone wants, these are for sale.

è     Total due to council $1,588.60 for popcorn sales. Due at November roundtable 11/16

è     Income from popcorn $855.40 net

-  Mistletoe sales planning

è     Confirmed for December 9, 10, 16, 17 (10:00 – 4:00 on all days)

è     Per Ed, Webelos are on board for this. They will have better attendance on the first weekend, they have a Webelos activity on the other weekend

è     Game plan is to have Webelos man Mistletoe while Troop is at rockclimbing. Scouts not involved in rock climbing may be able to act as trainers for Mistletoe with Webelos

 

7.  Training Chair.                                                                                   Doran

-  Committee Challenge

è     Looking at Feb/March time frame so that new adults can be registered

-  Matrix on training tracks for Scouts/Leaders

è     Doran working on

-  Current adult training records 

è     Kristen owes report to Doran

-  Availability of upcoming youth and adult training      

è     Seems to be blacked out through holidays. Will revisit when training is available.

 

8.  Advancement Chair.                                                                          Kristen

-  Advancement statistics

è     23 merit badges, 6 rank advancements

-  Schedule of upcoming Boards of Review

è     Will schedule for 2nd Tuesday of the month, starting in December. Charlie and Jack will be emailed as standards and will give notice if not available. Will look for volunteers to learn the Board process

-  Eagle progress status

è     Jeremy not moving towards Eagle. Notified at COH. Will talk to him about adult application – 18th b-day on 11/18.

 

9.  Membership.                                                                                     Maria

-  Webelos crossover

è     OA will be putting on ceremony Jan 12, 2007. Troop needs to be available to receive new scouts and distribute one t-shirt, epaulets, and Scout book.

è     Will purchase 10 sets of books and epaulets for the shirts

 

10.  Quartermaster.              

è     Doran Fish volunteered and was voted as Quartermaster by committee.

è     First item – emergency blankets for trailer – requested for boys that forget blankets or have damage done (wet) during camping

è     Research cost and availability for emergency weather radio – crank powered, no batteries, to keep in trailer.

è     Doran will research making firestarters as a patrol project

è     Doran will work with new patrol on their patrol box.

è     January campout – cold weather campout

 

11.  Chaplain.                                                                                        Doug

12.  Chartering Organization.                                                                   Doug

è     Mary Ann has asked that the upstairs is used for Den meetings for smaller dens to increase emergency efficiency. Lights and a/c not needed for 8 cubs!

è     Troop needs to clean up the Scout room and organize. Safety issues for smaller scouts using room. Will schedule for Tuesday night.

è     Troop can meet downstairs due to size of group.

 

13.  Activities/ calendar:                                                             Ed Conklin

- Nov 11:  Scouting for Food:                   Doran to coordinate.

è     Turn out good. Need additional volunteers for pick up. Doran will announce at meeting.

- Nov 17-19:  Methodist Retreat:              Shawn to coordinate.

è     Deposit made for 12 boys/2 adults. Permission slip distributed at 11/7 meeting.

è     Doran is available for campout

è     Balance needs to be paid in full upon arrival. Shawn will bring the checkbook!

- Dec 9, Aguille Rock climbing:               Walt to coordinate.

è     Walt will be putting out flier/email with information (expectations, cost, waiver)

- Dec 9/10/16/17, Mistletoe sales:           Shawn to coordinate.

è     See item #6 above

- Eagle merit badge in a day:     

è     Tentatively scheduled during JAN, not in conjunction with a campout

è     Ed suggested that merit badge activity is added to an activity that only takes a few hours (ie. Scouting for food)

è     January activity campout – are Weeblos going to participate as new Scouts??

 

14.  Old business.

 - Need to identify Scouts who need uniforms, address needs via: Scoutreach, fundraising, fundmatching, other Troop support.

è     Promote need for uniforms – COH was used as example.

è     BACK TO INSPECTION for uniforms

-  Kristen to order new green Troop T-shirts, non-denominational logos

-  Kristen to research thank you plaque w/photo for WalMart presentation.

-  Maria to update Troop 28 roster info.

è     Done today. Walt reviewing and will forward.

 

15.  New business.

 - Recharter

è     Walt has packet and will fill out.

è     Need fee letter and will determine who gets letter. Just renewal, not school night scouts. Should not be used as a fundraiser, should be pass through on costs. $22 per Boys with Boys life at $12. If multiples in family, only need to order 1 Boys Life per house.

è     Need to look into insurance and confirm that it matches recharter numbers. Agreed that Troop will pay the $1.66 per member.

- Trailer

è     Weeblos asked if they can borrow the trailer and equipment for Weeblos Woods weekend in December.  Scouts will not be present. Ed to get listing of equipment needed and load the small trailer with inventory of items.

o        Committee approved that Pack may borrow specific items and small trailer.

- Budget

è     Need to add budget line item to account for adults that are camping. If adults are volunteering time, they should not be expected to pay for entire cost.  Shawn will review and present guidance. Recommendation is that a set amount for each event is sponsored by the Troop.  Scoutmaster should be paid for by troop.

è     Line item for Summer camp adult participation needs to be taken into consideration.
