CORPUS   CHRISTI METAL DETECTING CLUB
PROLOGUE
���� The Exploration and Metal Detecting Society of Corpus Christi was formed in June, 1964 under the name The Exploration� Society of Corpus Christi, for the purpose outlined in Article II of the club constitution and By-Laws.� During the intervening years up to the present and with the rapid advances in metal detecting technology, club membership participation has been focused primarily toward the metal detecting aspects of recovery of coins, artifacts and relics.� As a result, by amendment, the club name has been changed to the Exploration and Metal Detecting Society of Corpus Christi.� The use of �
'Metal Detecting" in the name change was for the needed purpose of informing the public and prospective members of the existence of a club engaged in metal detecting located in pursuit of this sport/hobby in Corpus Christi and this area of South Texas.
���� Exploration and metal detecting is a rewarding and beneficial sport/hobby to be shared by any individual or family.� Its rewards are not only materialistic:� because it is primarily outdoor sport/hobby it is a healthy pursuit and finds also contribute to historical interest.
���� New members are able to learn much from the success and errors encountered by the older members.� All are encouraged to protect and promote the advantages offered by the club membership.

SECTION A
CLUB CONSTITUTION AND BY-LAWS
Adopted JUNE, 1964  SubsequentAmendments are incorporated in the text shown in underlined italics.
ARTICLE 1
Name
The name of the organization shall be THE EXPLORATION SOCIETY OF CORPUS CHRISTI. �October 5,  1987 - The organization voted to change the name of the club to the Exploration and Metal Detecting Society of Corpus  Christi.� �June 3,  2004 - The organization voted to change the name of the club to ?Corpus Christi Metal Detecting Club.
ARTICLE II
The purpose of the club is as follows:
Maintaining and supporting a club to further the interest of its members in historical facts.� Promoting the exchange of information.� Compiling, recording and preserving historical data and locations.� Discovering and recovering lost and hidden relics and artifacts.� Providing recreational activity and companionship for its members, thereby bringing into fellowship the individual members.
ARTICLE III
Section 1.� The membership will be open to any person of reputable character willing to abide by the constitution and the by-laws of the club.
Section 2.� A membership can include a husband and a wife or a single individual.
Section 3.� Membership dues shall be five dollars per year.  January 7, 1982 - At a meeting of the Society?s members, it was voted to raise the annual dues to $6.00 single member of $8.00 per family.January 7, 1988 - An amendment was made to increase the annual club dues from $8.00 per adult family to $12.00 per adult family members.� Single member fees shall remain a $6.00.
Section 4.� Membership dues for the current year shall be paid at the monthly meeting in January of each year.
Section 5.� Membership in the club may be forfeited in the following manner:
A. Nonpayment of dues.
B. Conduct prejudicial to the general welfare and prestige of the club.
Section 6.� New Members joining at mid year pay dues of $2.50.� January 5, 1984 - Members joining after June 30 of a given year will be charged one half the annual dues.
ARTICLE IV
The officers shall be:� President, 1st Vice-President, January 3, 1980 - At a meeting of the Society's members an amendment was� made to the list of officers.� A 2nd Vice President was added to the list., Secretary-Treasurer.
The Committee Chairman shall be for the following committees:� Research, Field Trip, Public Relations, Recorder-Custodian.
Robert Rules of Order:� Will be followed and only a President, 1st Vice-President, 2nd Vice-President and Secretary-Treasurer shall be elected.� The President will appoint the Chairpersons.
ARTICLE V
Duties of officers and committee chairman:
President:� Shall preside at all meetings.
1st Vice President:� Shall assume the duties of the President in his absence and act as program chairman.
2nd Vice President:� Shall assume the duties of the President in the absence of the President and the 1st Vice President.� Other duties as directed by the President will be assumed by 2nd Vice President.  October 4,  1984 - The 2nd Vice President is designated Membership Chairman.
Secretary-Treasurer:� As Secretary-shall keep an accurate record of the proceedings of all meetings.� As Treasurer ? shall be custodian of the funds of the Society, such funds to be deposited in a bank and paid out only upon authorization by two of the following members:� President, 1st Vice President, 2nd Vice President or Secretary-Treasurer.� The Treasurer shall keep an itemized account of receipts and expenditures and present a full report at the monthly meetings of the Society.
There shall be the following standing committees and such others as may be necessary from time to time to promote the object and interest of the Society.
Research:� Obtain information pertinent to any project to be undertaken by the Society.
Field Trip:� Locate� and make arrangements for field trips.� Seek permission of properly owners in fulfillment of current projects.
Recorder and Custodian:� Care of scrapbook, pictures made on projects of field trips and of articles and pertinent information pertaining to activities and findings.
Public Relations:� Handle all publicity for the Society.
Librarian:� Shall have custody of the club library.� Keep books in good condition, keep accurate records of books loaned to club members, and bring books to monthly meetings.
ARTICLE VI
The Society will meet at least once a month at a place to be designated by the vote of the members.
ARTICLE VII
All� procedures not covered in the above articles will be governed by the ordinary rules of parliamentary procedure.
ARTICLE VIII
Field Trips
Section 1.� Members shall be responsible for the conduct of their invited guests as well as the items found by their guest.
Section 2.� Persons under sixteen years of age must be accompanied by a responsible member while attending any Society function.
Section 3.� No individual member acting alone may use the name of the club to enter or gain access to any property or to evade responsibility for his actions while on the property of another.
Section 4.� Only club members may participate in treasure hunts of the annual picnic.
ARTICLE IX
Amendments must be presented to and voted on by two-thirds majority.
AMENDMENTS NOT INCORPORATED WHITHIN THE TEXT
March 2, 1989 - An amendment was made that flowers would be sent to club members and their spouses during bereavement ? sympathy and get well cards to be used in all other instances.� A $25.00 maximum was decided as a limit.
October 6, 1994 - An amendment was made to raise the raffle from $20.00 increments to $25.00 increments.
SECTION B
CLUB HUNTS
A.� DEFINITIONS:
1.� Duly held meeting.  The official club meeting normally held on the first Thursday of every month except December.
2.� Membership.   When used in the description of club hunt rules and guideline instruction, regarding any matter concerning club hunts, shall mean the majority approval vote of members in good standing during a duly held meeting.
3.� Members in good standing.  Any honorary member(s) and any individual member(s) whose dues are currently paid.
4.� Monthly hunts.  Will be referred to as those hunts held by the club each month normally the third weekend of the month, except for December and those months chosen for the Spring and Fall Hunts.� Monthly hunts will be open to all members in good standing, members of their immediate family and invited quests. �April 2, 1992 - Amendment to allow new members from in house meeting eligible to hunt in that month hunt.� Eligibility for receipt of points or awards will be restricted to attending members in good standing.� The hunt committee may designate any of the monthly hunts as appropriate for a covered dish dinner.
5.� Annual Spring and Fall Hunts.  One Spring and fall hunt will be held for eligible club members and their immediate family.� To be eligible, a member must have been a member in good standing at least two months prior to the hunt.� This is to preclude a person from joining the club at the time of the hunt.� A set of registration fee will be charged to all participants in these hunts.� Awards will be given based upon a contestants ability and/or hidden marked tokens as appropriate for the type(s) of hunt chosen by the hunt committee.
Hunt Committee.  A committee chosen by the club� president each year that will be responsible for spring and fall and monthly club hunts.
B. CLUB HUNT RULES AND PROCEDURES:
The Field Trip Chairman, as outlined in the Club's constitution and By-Laws, is synonymous with what is currently referred to as the Hunt Chairperson.� For the purpose of clarity and convenience, the term Hunt Chairperson and/or committee will be the official designation for the hunt committee and its members.� The club president is responsible for appointing committees.� During the first duly held meeting each year, the newly elected president shall canvas the members of the club for a Hunt Chairperson and two committee members.� When these individuals have been identified and have agreed to these positions, they under the leadership of the chairperson, shall be responsible for all club hunt activities except for Special Hunts.� Special Hunts, when elected to be held by the club membership, will be chaired by the President and Executive Boards who may appoint agreeable club members to assist in the organization and conduct of these hunts.
It will be a standing rule that hunts will be held alternately on the Saturday or Sunday of the third week of each month.
The Hunt Committee will� be responsible for the selection of the date (alternate Saturday or Sunday of each third week), time and site (place) where each hunt will be held.� They will be responsible for seeking permission for hunt site location, when permission is required.
Members will conduct themselves in a responsible manner during hunt activities.� This will include the picking up and disposing of all trash that is dug, the covering of all holes that are dug, and the use of proper retrieval procedures in green areas, when required.� Responsible recovery techniques will and must be followed to preclude adverse public and private sentiment detrimental to the metal detecting hobby and club recognized interest.
Members will be responsible for the conduct of their immediate family as well as the conduct of their invited guests participating in hunt activities, as well as the items they find.
It will be standing rule that at least one hunt committee person will be in attendance at each hunt.� Whenever possible, the Hunt Chairman should attend the hunt.
When unforeseen circumstances arise that prevent a hunt from being held on its specified date, the Hunt Committee will try to prepare an alternate proposal and notify the Executive Committee and club members at the meeting preceding the hunt.� If circumstance(s) dictate otherwise, and notification cannot be given cannot be given at a meeting prior to the hunt, the Hunt Committee will try to notify the club president or one of his/her alternates of the Executive Committee.� The member of the Executive Committee so notified will contact as many of the members as possible, as soon as possible.� They will determine whether to adopt and alternative proposal, when offered by the Hunt Committee, or to defer the hunt.� Whatever the Executive Committee decision, whenever the decision has to be made before a hunt because of unforeseen circumstances after the last duly held meeting, actions will be taken to notify all club members of any changes as soon as possible (The use of the telephone committee would be appropriate for assistance).
It will be a standing rule that a sign-in log will be made available for all members attending and participating in monthly hunts.� Members will be required to use the monthly hunt sign-in log in order to qualify for points toward Treasure Hunter of the Year a Awards.� A minimum of three single line spaces will be maintained for and by each person participating in hunt activities.� At the conclusion of hunt activities, each participant will list beside his/her signature the total number and kinds (types) of finds.� The completed sign-in log will be provided by the Secretary/Treasure at the next duly held meeting for display in a conspicuous place for review and judgment by all members present.� Members will determine from this review what they consider to be the best find made during the monthly hunt.� Members will indicate their choice in whatever manner prescribed by the presiding officer of the meeting during the Find-of- the- Month.� Door� prize determination period.� Only members will be entitled to vote for the winner of the monthly hunt.� The winner will be awarded a 1 ounce piece of .999 silver. �May 6, 1999 - The organization voted to temporarily eliminate the door prize until the price of silver come down. ��The monthly hunt log will be maintained during each meeting by the Secretary/Treasurer who will identify in the log the winner of each monthly hunt.� At the conclusion of each meeting the log will be returned to the Hunt Committee for use during the next monthly hunt.� The monthly hunt log will be used to tally points of club members participating in the hunts and to select Treasure Hunter of the Year.� June 1, 1995 - The organization voted to keep the find of the month the same as it is now with the addition of some type ribbon or prizes for the people who have the largest number of wins during the year in each category.
A sign-in log will also be provided by the Hunt Committee for the club Spring and Fall Annual Hunts for the same purposes as prescribed for monthly hunts.
Prizes for the Spring and Fall Hunt purchased with club treasury funds will be in the form of certain weights of .999 silver rounds or ingots, as determined appropriate by the Hunt Committee for the type of contest held.
A list of the type of hunt contest available to the Hunt Committee to use will be provided as an addendum to these rules and procedures.
The Hunt Committee will make every effort to assure that .999 silver awards are divided as equally as possible among the contests.
The Hunt Committee will request prior to each Spring and Fall Hunt the amount of money to be spent to purchase the .999 silver to be awarded as prizes given at the hunts.� The Hunt Committee, upon prior approval by the membership, may be authorized to purchase specified amounts of silver dimes for certain contests whenever the finding/awarding of these dimes will be considered to be sufficient rewards for the contest participants.� The Hunt Committee will coordinate their cash needs from the club treasury for silver purchase with the Executive Committee.
Any deviations/exceptions from these club Hunt Rules and Procedures must be given the approval of the membership during a duly held meeting.� Prizes not awarded at hunts, because a claimant was not present, shall be retained by the Hunt Committee for presentation during other club activities.� All finial hunt sign-in logs and/or other hunt activity documentation/date will be provided the Secretary/Treasurer, when appropriate, as club property.
SECTION C
CLUB TREASURE HUNTER OF THE YEAR AWARDS
Rules and Procedures:
Club Treasure Hunter of the year Awards will be presented each year during the Christmas Social.� Four awards will be presented:
Club Treasure Hunter for the Year --------$50.00
First Runner-up ---------------------------------$25.00
Second Runner -up-----------------------------$20.00
Third Runner -up --------------------------------$10.00
Selection of the recipients of the awards will be based upon a point system.
A Committee will be appointed by the club President each year during the November meeting, to total the points earned by each member during the year for determining Club Treasurer Hunter of the Year winners for disclosure during the December Christmas Social.
The Chairperson of the committee totaling the points will list in proper order and seal in an envelope the names of the winners for presentation to the Club President.� The members of this committee will assure that the names of the winners remain confidential until announced by the President at the Christmas Social.
The accumulation of points will be based upon the fairest system possible involving all aspects of club activities.� The acquisition of points by members will be heavily dependent upon their involvement and participation in all club activities to the greatest extent possible.
The following actions will be taken and perpetuated as required for the purpose of recording points.� Logs will be provided for each club activity as follows:
Members and guest attendance
Find of the month
Monthly hunts
Sprint and Fall hunts
Coffee pot and pastry volunteers�
�Entries in these logs will be by year, month and day.� Each member will be responsible for assuring that his or her name in entered in the appropriate log.� This will not be required for the coffee pot and pastry log, which� will be maintained by the Secretary/Treasurer.� The Hunt Committee will be responsible for the hunt logs and the Executive Committee will be responsible for the find of the month log.� The attendance log will be maintained by the Secretary/Treasurer.
In as much as the first thirty minutes prior to the start of each duly held meeting is supposed to be devoted to show and tell finds, the following actions are directed.
A separate log will be maintained for entries of show and tell finds of the month by each individual member who brings his/her finds to the meeting for display.� Points will be awarded for participation.� This log and display is not to be confused with the find of the month contest and log.� The find of the month contest is for the best coin, jewelry, rings and other that is found from the time of the last meeting to the present and for which an entry fee must have been paid during the last meeting for each category entered.
The purpose for the show and tell display contest if to encourage each member to bring in those items found from the time of the last meeting to the present one.� These items may be displayed in the show and tell contest even though the member may or may not be eligible to participate in the find of the month contest.� The only rules governing the show and tell display items are that they must be those found by the member from the time of the last meeting up to the present one and are displayed at the meeting by the membe3r.� The show and tell log will be maintained by year, month and date and entries into this log will be the responsibility of each participating member.

This log will be maintained at the direction of the President by one of the Vice Presidents or one of the Executive Committee.� At the end of each year the results of the finds entered in this log will be totaled and presented to the new club president.� The totaled year end results will also be reflected (entered) at the conclusion of each years log for the club historical purposes.� All completed logs will be maintained and kept by the club.
Points for holding any club office or committee membership or other position(s) as appointed by the president will be taken by name from official club minutes.
