– a German project to develop paragraph writing skills while learning Mail Merge capabilities in word processing programs along with databases
  1. Open Microsoft Word.
  2. On the toolbar marked: File Edit View Insert Format Tools Table Window Help
  3. select "Tools" and click on "Mail Merge".

  4. From the Mail Merge Helper click under 1 Main document "Create"
  5. and select "Form Letters"

  6. A dialog box will appear, since you have already opened up Word and a document, click on "Active Window".
  7. Under 2 Data Source click on "Get Data" and then select "Open Data Source"
  8. Make sure that under Open Data Source that you are looking in the right folder where you saved your database and that at the bottom left of the dialog box where you see: "Files of type" that you have selected (*.mdb) .
  9. When you find your database click "Open".
  10. When the next dialog box opens, you will have to make sure that your table
  11. (probably Table 1 ) is highlighted and then click on "OK".

  12. Click "Edit main document"
  13. You will notice that there is now a fourth toolbar at the top of your window.
  14. If you click on Insert Merge Field , you can select any one of the fields in your database.

  15. As you do that, the field name will appear in your word processing document in brackets like this: «Name»
  16. You can select these fields as many times as you need in your document. It may look like this:
  17. «Vorname» «Familiename» wohnt in «Wohnort». «Pronomen» ist «Alter» Jahre alt.

  18. When you click on the button on the toolbar with: «ABC» , you will see the information from your first record appear. It might look then like this:

Fritz Schmidt wohnt in Vista. Er ist 16 Jahre alt.

  1. You should also try to make use of the second menu on the fourth toolbar which is
  2. Insert Word Field . When you select "If… Then… Else…" a dialog box will appear with:

    Field Name:

    Comparison:

    Compare to:  

      ID

    Equal to 

     
  3. Select a Field name such as Geschlecht where perhaps you have inputted either m or w for male or female (männlich / weiblich).

Type in "m" under Compare to:  , then in the box under Insert this text: type in "Er"

Finally, in the box: Otherwise insert this text: type in "Sie"

You could do the exact same thing somewhere else in your document with the same field and the "If...Then… Else…" but put in "sein" or "ihr" for his or her.
