Parents/Teachers of Lewis & Clark Minutes - January 2001

• Total funds available: $6,133.71 (see Gail Martyn)
  Regarding our Liabilities: All funds will be rolled over to 2001/02, EXCEPT the following, which will be returned to the general fund: Secretaries Day, 3rd grade field trip, Kids Night Out, PTLC Child Care/Games, PTLC cupboard shelving, Staff Appreciation week, Swimming lessons

Old Business:

• David Laubenthal's sculpture update: actual budget for the �breezy canoe�, chosen by the staff, had been budgeted at $4,600. Outside funding is being solicited with Walmart and grants will be written throughout the summer for funding on this art project. Possible start to project is Fall 2001.
• Kids Night Out: approx. profit = $800. We had a good turnout, with 209 kids attending.
• Playground Update: Capitol outlay has been cut in half for the next school year. Site council has $2500 available for Clark. Motion to set aside $5000 for an add-on play structure to be installed during summer at the grass area at end of Clark play shed, with site council money to be used first, voted and approved.
• Safe Kids Day: Saturday, May 12th. Dunk tank has been reserved. Opens at 11 am.
• Book Fair Report: Went very well. Next fall we will have a �showcase� book fair. Larger selections and a costume character will be included in the event.

New Business:

• Loud and Clear: if funding is available, might be for 3rd grade only, possibly in January. The following questions occurred: Will there be new information given if the kids repeated the program? Will there be a change in teachers? Subject to be tabled until the next PTLC meeting in September.
  
• Die Cut Rollers: Request for $85.00 for three new rollers with 3yr life, for the die-cut machines, voted and approved.
• By-law amendments: proposed wording read at May meeting, to be voted on at Sept. meeting:
  
  Article VI, Section I, item E:

  Officers, except treasurer, shall assume their official duties following the close of the meeting in which they are elected and shall serve until the election and qualification of their successors.

  The newly-elected treasurer shall assume his/her official duties on July 1st, the start of the next fiscal year, but work closely, until then, with the out-going treasurer who will retain official duties until June 30, the end of the current fiscal year. The out-going treasurer shall be responsible for preparing the annual report for end-of-the-year audit. Both persons shall be present at the audit.

  Article III, item D:

  No part of the net earnings of this organization shall be used to the benefit of, or be distributable to, its officers or members, persons who are not staff of Lewis Primary or Clark Intermediate schools or programs which are not for the exclusive benefit of Lewis and Clark students.

  Motion was also made to suspend the by-law governing nomination closing date as no nominations were received by the closing date.
• Audit: Two volunteers are needed to audit the 2000/2001 financial history. See Gail.
• Kindergarten Party: The kindergarten classes will not be participating the field day activities. $25 has been requested to purchase popsicles for the children. Approved.
• Bench for Lewis Primary: a motion was made to purchase a bench for the Lewis end of the school. Approved. Money to come from Ground Enhancement fund.
