GANS Board Meeting

1.  Call to Order: Laura Yoho, President, called the meeting of the Board of Directors of the Georgia Association of Nursing Students to order at 10:30am.

2.  Roll Call:

2.  Quorum: Laura Yoho, President, declared a quorum present

3.  Motions: Minutes from April were read and approved.

4.  Treasurer's Report
a.  Golf Tournament
i.  Player Schedule-9am Registration, 11am to End-of-Play (4-5 hours).  Awards Ceremony at End-of-Play.  We will be playing the front 18 holes of this tournament course (Orchard Hills will fill the field if we do not).
ii.  GANS Schedule-Golf Course Etiquette Attire (khaki shorts, polo or button up shirt).  GANS Members show up at 0800.  4 volunteers to stand at each of the 4 prize holes (we will rotate out).  Because this course is known for its hospitality and professionalish, (as is our organization) GANS members will act accordingly.  Craig Lawson reviewed golf etiquette and rules with the Board.  The golfers will know what to do, so we just need to be there to thank them.
iii.  Financial Standing-we are doing fine, but we need to push for more teams so sponsors feel that this tournament is worth their contributions.
iv.  EKG-players/sponsors guide is complete.  Nurse America is willing to sponsor 4 teams.
v.  Prizes for Contests-GANS is offering door prizes and contest prizes such as putters and a golf bag.
iv.  Competitions:
     1.  Two Closest-to-the-Pin Competitions: held on Hole 3.
     2.  Longest Drive on 18th hole.
     3.  Hole in One on Hole 4 (par 3).
     4.  GANS is selling Mulligans (free redos) - 2 mulligans per person/per team
     5.  4 man scramble/best ball
5.  Report of Officers:

a.  1st Vice President
i.  Convention
1.  Current Sponsors - Athens Regional and a North Carolina Hospital.  There is a possibility that GNA will co-sponsor something.
2. Schedule - the new convention schedule will be emailed soon.
3. Speakers for focus sessions will be completed when the schedule is finalized.
4. Suggestions - Linda Nauright, Liz Capaziti-restraint focus session.
5. GANS is trying to invite the GNA Nurses of the Year-Linda Easterly and Ann Connor to be recognized at our convention.
6. Registration forms-Noel made registration form (which includes fees for everyone), it wil be emailed at a later date.
7. Mosby has offered to help in someway in exchange for a free booth (possibly sponsor Lynn Wick's flight)
8. Contract is finalized.  We will get a $3 kickback per room.  Reservations must be made by September 8.  There will be no continental breakfast with NCLEX (2 full hours of Loretta Manning's NCLEX review for $20-$25).  Luncheon:  $15-$20 possibly dealing with Med Errors with Kathy Green.
9. We would like to have a 2002-2003 GANS Board Meeting Luncheon on Sunday after the 2003 Convention.
b.  South District Director
i.  Welcome to our new Board member!!!
ii. Jennifer will attain a list of her districts off of the website and send out a letter to them.
6.  Old Business

a.  New Policy and Procedure Ideas
i.  MidYear - transition positions...indicate those positions that need to attend
ii.  Nationals--privilege for people who have been working on fundraisers
b.  Email Changes
i. Please remove Kenn Green and Angie Van Ronk from your email listings.
ii. Please add our new South District Director, Jennifer Cordell to your email list [email protected]
iii. Please add Darla Ura  [email protected] and Kathy Markkowski [email protected], the Presidential Advisors, to your email list.
c.  Tee Shirts
i. Gina presented pictures for the GANS Convention shirts.
ii. She will bring prices and a more exact copy (size and colors) of the design at a later date.
d.  Moneys due
i. Last contact with 2nd Vice President, Kalin Whaley, was a certified letter.  Current balance due: $657.80.  The next step with her is Credit Bureau and small claims court.
ii.  Elizabeth Honeycutt - initial contact, sent copies of receipts, no response.
iii. Ken Greene - certified letter was sent to him and returned undelivered.
iv. Jason Mann - sent 2 death certificates showing family death during MidYear.  GANS has decided not to pursue legal actions.
7.  New Business

a.  June Meeting
i. June 21, 2003 meeting will be held in Macon at Macon State College
b.  COSP
i. August 16, 2003 at Macon State in Student Life Center inside Cafeteria
ii. Board at 10am and COSP at 11am
iii. EKG Back to School issue should be mailed August 1st.
c.  New Number for Jessica Hunt

d.  Members who have missed 2 meetings
i. Will be sent an email from Laura
e.  GANS pins
     i. Still getting in touch with past president about pin ordering info.
    
ii. Cindy contacting Yetta (old treasurer from 2 years ago) to find out where we
      ordered them.
     
iii. People who made pins at nationals, cost is $22 per pin, but we got them for
     $10 in the past.

f.  Fundraiser Ideas
   
i. We will bring ideas to the next meeting to set up mandated fundraisers.
   
ii. Ideas included:  toothbrush/toothpast, candy, candies.

g.  Website
   
i. Our current website has been set up since 1998, it costs nothing.
  
ii. Professional Website:
          1.  Crilogix, can do it with everything we need (takes 6-8 weeks to set up)
               costs $500-$600 to set up.  $100 maintenance fee.  Only have 7 links
               (ours currently has 36 links)
          2.  Florida Designs - offers same as Crilogix for $499 set up fee, no monthly
               fee, one link only.
          3.  InfoCreek.com - $499 plus maintenance based on needs
          4.  Totalwebbed.com - $1000 to $1500 to set up, $65/hour maintenance
          5.  JDS Software - 6 pages for $499, extra pages for $25
     
iii. Free websites - we have this now
    
iv. Cindy wants to continue doing our website until she leaves.  She will make an
          an instruction manuel to help future website "masters".
    
v. Noel - we are not in a good stance financially to pay for a website.
    
vi. Possible solution - add Webmaster to the role of PR Director in the Bylaws;
          Cindy will be willing to train those board members every year.
