MemorandumTo: All Department Managers of Computers 4U
From: Linda Anglin, Personnel Director
Subject: Improving Productivity By Telecommuting
Date: Jan. 2, 1999
Because Computers 4U bases its success on being innovative in a highly technological society, it is important for us to stay ahead of the competition in as many ways as possible. It is for this reason that I want to introduce you to the latest trend in the workplace &endash; telecommuting &endash; and three of its main benefits for our company: worker flexibility and satisfaction, decreased company costs, more productivity.
First, letting some employees work from home helps them to make better use of their time. They don't have to work in a rigid 9-to-5 schedule, they don't have to waste time traveling to and from work, and they can work when they have the most energy. For example, Suzanne Hémond, a former executive at the Royal Bank, said that she can now cook spaghetti sauce at 2 PM and work until midnight if she wants to (Stephanie Whittaker, "Home Is Where The Work Is", Montreal Gazette, April 14, 1996). She also said that telecommuting is a blessing for those women who want to stay home, raise their children, and need to work. A project by the Radcliffe Public Policy Institute (RPPI) and the Fleet Financial Group (FFG) found that 3/4 of the telecommuters reported a more positive work/life balance (Stephanie Whittaker, "Home Is Where The Work Is", Montreal Gazette, April 14, 1996).
The second benefit of telecommuting is an overall, long-term reduction in operating expenses. John Girard, in a 1998 conference presentation entitled Remote Access: Building and Managing the Workplace of the Future, said that, initially, computer budget costs increase from about 63% to 155%. However, operating expenses, like building maintenance, office space rental, and wear and tear on the office, decrease to such a point that, within the first five years, the savings more than makes up for the initial capital outlay.
Finally, giving at-home employees access to all records and software will increase productivity, and this is the bottom line. The same project by RPPI and FFG reported increased productivity and decreased employee turnover. (Stephanie Whittaker, "Home Is Where The Work Is", Montreal Gazette, April 14, 1996). A bout of the flu or even a snowstorm will not prevent us from meeting our daily goals.
In conclusion, if we commit to the employees, they will commit to us. The positive results for us will be flexible and satisfied workers, decreased long-term, more productivity. All of these benefits will keep us in the forefront of our business sector.
